JANUARY 31, 2004 ANNUAL MEETING MINUTES

 

The Annual Federation Meeting was convened at 5:30 p.m. on Saturday, January 31, 2004, at the Ala Wai Palladium Ballroom.

 

1.   Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary and Festival Chairman.  The following clubs were represented:  High Hopes, Hi-Lo's Plus, Lava Klinkers, Maui Mixers, Pali Twirlers, Paradise Promenaders, Rainbeaus and Belles, Slewfoot Promenaders, Square Wheelers and Hayseeds, and Tsunamis.

 

2.   Minutes: The chairman asked for additions or corrections to the minutes of the December 28, 2003 meeting.  There being none, the minutes were accepted as submitted. 

 

3.    Treasurer’s Report: The Treasurer’s report was distributed for review.  The opening balance as of 2/01/03 was $872.07.  Income was $19,044.96 and expenses were $10,620.16, leaving a balance on hand of $9,292.87. Remaining to be paid are Festival expenses of approximately $2,500 and Federation insurance of approximately $1,200. A Summary of Cash Flow report and a Federation Check Register report were also submitted.  The Treasurer’s report was accepted as presented.

 

4.     Committee Reports: 

       a.  Hawaii State Festival 2003: 

               (1) Registrar's Report:  Henry reported that final figures are not yet available but that so far there were 254 festival registrants, 9 cancellations, 8 non-dancers and 18 walk-ins, for a total of 271.  51 badges, 49 date bars and 21 Rover badges have been sold. 

               (2) Chairman's Report:  David reported that the Festival is going smoothly, but the large number of walk-ins have been a problem and should be discouraged in the future.  He said that square dancers from North Carolina and round dancers from California brought by their caller and cuer have boosted our attendance this year. The Luau was an outstanding success and the Wednesday and Thursday night dances were well attended.  The Saturday Community Dance was successful with eight squares dancing at one time.  Names were accepted and a new class will start in the near future. Many comments about the excellent callers and cuers have been heard.

      (b)  USA West: Tim Voss, Co-Chairman of the USA West Hawaii-in-2006 Western Regional Square Dance Convention  introduced himself.  He explained that USA West consists of clubs in the western half of the United States who work together to have a convention in the years that the National Convention is held in the eastern half of the U.S.  Since the next two Nationals will be held in Denver and Portland , Oregon , USA West will be dark.  In 2006 USA West will hold its convention at the Blaisdell Center in Honolulu , Hawaii .  Tim briefly reviewed the 2006 budget and proposed plans for the event.  In reply to a question from the floor, David described the Federation's role and said that the Federation would have no fiscal or other direct responsibilities, but it would support USA West's convention as much as possible.

             

5.    Correspondence:  None.

 

6.   Old Business: 

       a.  Insurance:  David reported that he had been unable to contact Irene Ferreira on Maui to get a quote on our insurance for 2004; however, he expects that it to be approximately $1,200.

 

7.    New Business:

       a.   Festival Registration Fees:  David reported that Festival last minute walk-ins and late registrants are a problem in terms of processing.  He suggested that in the future registration fees for Federation members continue to be discounted  at $20 until January 1st of the Festival year, after which date they would be raised to $30.  The motion was made, seconded, and unanimously approved the raise Festival registration fees for Federation members to $30 if forms have not been received by January 1st of the Festival year. 

       b.  Federation Dues:  David reported that current dues of $10 per member for each club had adequately covered our administrative expenses last year.   He recommended this be continued for the ensuing year if there are no objections.   Note: Dues are due February 1st.

       c.   Federation By Laws governing Board Members' Terms of Office:  David noted that the Federation's Constitution and By Laws are available off the Web.  He said that although they stipulate that board members be elected to staggered three year terms, the current board members have been in office for over 3 years.  After discussion, it was moved, seconded, and unanimously carried to suspend the rules of the Federation's Constitution and By Laws governing Election of Officers for one year in order to allow for the current election.

       d.  Election of Officers:  The Chair announced the annual election of officers and nominated  the following slate to serve for 2004.

 

            Chairman:                     Virgil (Buster) Forbes

            Vice Chairman:               Roger Beaulieu

            Treasurer:                     Brenda Powell

            Secretary:                     Judy Bauckham

 

The above slate of officers was unanimously accepted by acclimation to serve during 2004. They were thanked for offering their services.

 

8.   Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events Flyer.  

        a.  Square Wheelers:  David reported that the current class will have 14 dancers graduating in approximately 10 weeks and that another 10-20 people have signed up for the next class.  There are now 54 members on the club roster.

        b.  Pali Twirlers:  Doug Warne reported that the luau was a huge success with 157 meals served. This compares to 65 attendees a year ago.  He thanked everyone for their support.

        c.  Tsunamis:  Tim Voss reported that 49 people have signed up for the whale watching cruise on Sunday.  This is about the same numbers as in the past.

      d.  Rainbeaus 'n Belles: Deed Reimer reported that the St. Patrick's Day dance will be held again in March at the UH Cafeteria in Hilo with a catered sit-down dinner on Saturday night for $15. The caller will be Lloyd Lewis from California

      e.  Maui Mixers and Hi Hopes: Dave Fullaway reported that six dancers from Maui are attending the Festival this year.  The Maui No Ka Oi Festival will again be held in April featuring caller, Steve Minken.  He said that he will be attending the National Convention in Denver and there will be a Hawaii booth, as usual.

        f.  Hi-Lo's Plus:  Michi Ryan reported that the Hi-Lo's are dancing regularly every Sunday afternoon with Hank Grote, caller.

      g.  Slewfoot Promenaders:  Bill Yoeman reported that the Festival Trail-in dances on Saturday and Monday nights on the Big Island were successful, with 7 squares dancing.  He noted that three squares came from the mainland.                       

      h.  Lava Klinkers:  Robert Kovacs reported that because last year's dance was considered successful a dance has been planned again for next October and the date has been reserved at KCC.

      i.    Paradise Promenaders:  David introduced Cindy Hoagland and Stan Weeks of Kauai, whose new club is now a member of the Hawaii Federation of Square Dancers.

 

9.    Next Meeting:  The next meeting will be held on Sunday, February 28, at a time to be announced  at the Ala Wai Clubhouse.

 

10.  Adjournment:  The meeting was adjourned at 6:23 p.m.
