Chairmans Notes: September is
just around the corner and I am still looking for some club efforts to mount a new
dancer's recruiting campaign. Many of our members belong to other social clubs and
fraternal organizations which may be a source for finding new dancers. How about writing a
short article in the social club's newsletter or posting an ad on their bulletin board?
There are 100s of ways to advertise our activity but it requires a first step to begin the
process. You are the leaders of our organization - lead the way!
Kim Akagi has purchased three rolls of the Hawaii Square Dance material - royal blue
& white pattern. Cost is $3.00 a yard. The state colors were well received at the 48th
National Convention in Indianapolis and we will display them again at the USA West
Convention in August. Please pass the word to your club members interested in joining in
the state costume for our State Festival in January. Contact Kim at (808) 943-0120.
These minutes and my notes are published to share information with all State dancers.
Please post them prominently and encourage discussion on the issues and topics. I welcome
your comments and feedback on Federation and Club activities.
JULY 99 FEDERATION MEETING MINUTES
The July 99 Federation Meeting was convened at 3:03 p.m., on July
11, 1999, at the Kahala Recreation Center
1. Attendance: Federation Chairman, Vice Chairman, Secretary, and Treasurer. The
following clubs were represented: Hayseeds, Pali Twirlers, Square Wheelers and Tsunamis.
2. Minutes: The minutes of the June 1999 Meeting were reviewed. No corrections were
noted and the minutes were accepted as presented.
3. Treasurers Report: The Treasurers report for July was distributed
for review. The balance was $445.81 in checking and $2,817.94 in savings for a total of
$3,263.75. The Treasurer noted that major expenses for the month were $262.00 to the IRS
for 1998 taxes and printing costs of $450.00 for Festival flyers. The Treasurers
Report was accepted as submitted.
4. Committee Reports: Committee chairpersons presented a brief outline of
their progress since the last meeting:
a. Advertising and recruiting: Chairpersons are needed for these two committees. Anyone
willing to help is urged to contact David Lemon.
b. Social Calendar: Some corrections have been received and new calendars will be
published periodically. Please send your updates and corrections to Henry Staehle at henrys@inix.com, or telephone 672-3646.
c. HI-2K Festival: Caller and cuer lineups: callers Kevin Van Vliet, Bob Fiske and Bob
Rollins; cuer Rey Garza backed up by the Kammerers. So far, 15 paid registrations have
been received. 3,000 flyers and 2,000 registration forms have been printed. Hawaii dancers
are urged to register early to help fund the event. Refunds will be given up to January.
d. Housing Committee: Doug Warne of the Pali Twirlers has volunteered to serve as
Festival Housing Committee Chairman. Please contact Doug of the Pali Twirlers, e-mail: dwarne4@hotmail.com if you think you might have room
available in January for our neighbor island dancers. Transportation arrangements are at
your discretion with the burden on the guest. The cost of a rental car is significantly
less than a Waikiki hotel.
5. Correspondence: Letter from Diedrich Reimer with corrections to the Social
Calendar.
6. Old Business:
a. Revised Bylaws: Still pending.
b. Report on National Convention: 10,000 dancers attended the Convention in
Indianapolis, with ten couples attending from Hawaii. Approximately 400 handouts and
application forms were distributed from the Hawaii display table advertising the HI-2K
Festival.
c. Square Dance Recruiting Month (September): Clubs are urged to plan events and
contact organizations and friends in an effort to bring out new dancers during the month.
Please plan to attend the September 22nd dance at the Palladium and bring a potential new
dancer if possible.
d. USA West Convention, Aug. 11-14: Six couples from Hawaii plan to attend. Materials
for the HI-2K Convention have been shipped from Indianapolis to Las Vegas for distribution
at the Hawaii display table.
e. USA West Convention host proposal: USA West is looking for a host for its 2002
convention and Hawaii is one of the sites under consideration. Between 2,000 and 5,000
dancers would attend, too many for the Ala Wai Ballroom and too few for the State
Convention Center, leaving the Blaisdell Center as the probable choice. After weighing the
factors of probable benefits to Hawaii vs. the amount of effort and responsibility to
those who participate, it was moved, seconded and unanimously agreed not to offer to host
the 2002 USA West Convention.
7. New Business:
a. Taxes: An accountant was retained to resolve errors in the 1998 tax basis and to
establish a reasonable basis for the future filings. All Federal taxes have been paid
($262.00 + interest), and our books have been balanced since 1998. Next year should see us
tax-free after filing for our tax-exempt status. All clubs are urged to do the same.
b. National Square Dance Directory:
(1) Every club should check their listing in the National Square Dance Directory before
the deadline of Aug. 15 and update their clubs information.
(2) 2001 Festival listing ($260 per year). The Federation has run an ad every year in
the American Square Dance Magazine and will do so again this year. We receive one free
page in exchange for their listing in our Square Dance Convention book.
c. Tenderfoot Hoedown (September 22): Invitational letters, addressed to any
organization or group requested by a club, may be sent by the Federation. Just contact
Dave Lemon or Janet Granich with the name and address of the organization or group you
wish to invite.
d. Badges: Only 107 red convention badges remain. It has been more than three years
since we have ordered badges from the New Jersey company which produced the die. It is
their policy to discard the die after four years if no new orders are received, and it
costs $130 to produce a new die. After discussion, it was moved, seconded, and unanimously
carried to buy 250 badges at $1.54 each so as to retain the die for the future.
8. Club Reports/Events: Future events are listed on the Hot Line and shown on the
Social Calendar (Remember, written notes are requested to ensure accuracy).
a. USA West Convention in Las Vegas, NV, Aug 11-14. Six couples have reported their
plans to attend.
b. Federation Beach Party, Aug. 8, 11:00 a.m. 6:00 p.m. Pot luck lunch at 12:00
Noon Center Pavilion B at Bellows AFB Beach. $3.00 per person. Soft drinks and utensils
will be provided. Cars without DoD sticker must be registered with Andy Scott for entrance
to base. Call 254-2333.
c. Hayseeds: Hayseeds Square Dance Dinner Party and demo in USCG Red Hill Military
Housing on Saturday, Aug. 14. All angels welcome to lend a hand. Contact Norman Hangman at
689-6754.
d. SquareWheelers: Anniversary Dance in late August at Palladium. Date TBD.
(Note) The second Sunday of each month is available at the Palladium. The Federation is
considering hosting a Federation Dance once a month with rotating callers from all clubs.
We are soliciting comments on whether such an event would be popular. Please direct your
comments to your Club representative or a member of the Federation board.
Adjournment: The meeting was adjourned at 3:58 p.m. The August meeting has been
cancelled due to the Federation Beach Party. The next meeting will be on September 12, at
the Kahala Recreation Center at 3:00 p.m.
