MAY ’99 FEDERATION MEETING MINUTES

The May Federation Meeting was convened at 4:35 p.m., on Sunday, May 9, 1999, at the Kahala Recreation Center.

1. Attendance: Federation Chair David Lemon, Vice Chair Tim Voss, Treasurer Mel Pederson, and Secretary Janet Granich were in attendance. The following clubs were represented: Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis.

2. Minutes: The minutes of the April 1999 meeting were reviewed. No corrections were noted and the minutes were accepted as presented.

3. Treasurer’s Report: The Treasurer’s Report for April was presented for review. The balance in checking was $524.16 and $2,803.92 in savings, for a total balance on hand of $3,328.08. The Treasurer’s Report was accepted as submitted.

4. Club Representatives: The Chair reported that several clubs have not responded to the request for the names of their representatives. All clubs are requested to revalidate and submit the names of their Federation Representatives and Alternates in writing to the Board of Directors, and to notify them of any changes during the year. E-mail addresses of club representatives and those requesting copies of minutes should be sent to David at dlemon@inix.com and Janet at janetg@inix.com.

5. Committee Reports: Each Committee Chairperson present gave a brief outline of their duties and progress. The Federation is still seeking volunteers to chair the Advertising and Recruiting Committees. The Social Calendar chair submitted a draft of events for the ensuing two-year period and requested input from clubs regarding their future events.

6. Correspondence:

a. Letter was received from Hayseeds dated May 3, submitting rebate of $118.20, representing one-third of net proceeds for their convention activity.

b. Letter was received from Pail Twirlers donating $100.00 from the club and $180 from individual contributions.

7. Old Business:

a. Revised Bylaws: Still pending.

b. Club rosters are needed for insurance requirements. Accurate counts of members are required, including names, addresses and phone numbers.

c. Convention Planning: The Chair referred to letter sent to club presidents asking them to submit a proposal for their Convention club activity including itemized costs and details, but he has received no response to date. The Hayseeds and Square Wheelers plan to again dance at the Polynesian Cultural Center on the Monday night preceding the Convention, and will request premier seating for the show. Henry reported that the Pali Twirlers plan to again host a luau on the Tuesday night preceding the Convention.

d. USA West: Nothing new to report since last month

8. New Business:

a. Square Dance Recruiting Month (September): Clubs are urged to submit ideas and plan events to encourage new dancers to participate in square dancing. The Hayseeds will plan to host a Federation NewComer’s Dance on Wednesday September 22nd at the Palladium Ballroom.

b. Insurance Carrier: Irene Ferreira, our insurance underwriter on Maui, is trying to locate a new insurance carrier because our current one is not registered in Hawaii. Insurance is still valid but we lack State protection should the insurance company file for bankruptcy. (Note: The Federation pays $600 per year for liability and accident insurance or $2.00 each for the approximately 260 square dancers in Hawaii.)

c. Perth 2000: Fliers on the international convention in Perth, Western Australia have been sent to each club. David Lemon is seeking a group travel rate from local agents if enough dancers are interested in attending the September 8-10, 2000 convention. Contact David Lemon before July 1.

9. Club Reports/Events:

a. North Shore Twirlers: John Uhlier is the new President.

b. 48TH National Convention, Indianapolis, IN, June 12-28, 1999.

c. USA West Convention: Las Vegas, NV, Aug 11-14, 1999.

d. Pail Twirlers will sponsor the dancers for the 4th of July Parade, followed by a potluck pool party.

e. Federation Beach Picnic, Bellows AFB (8 or 22 Aug requested).

    f. The Hawaii State Dance Council will sponsor a Father’s Day Dance on Sunday, June 20.

g. The Aloha Paradise Dancers have changed to a caller-operated club with Ken Jordan as Caller-operator.

10. Next Meeting: The next meeting of the Federation will be held on Sunday, June 13 at the Kahala Recreation Center, at 3:00 P.M. Note the time change to accommodate the round dancers.
