MARCH ’99 FEDERATION MEETING MINUTES

The March Federation Meeting was convened at 4:30 p.m., on March 7, 1999, at the Kahala Recreation Center.

1. Attendance: Federation Chairman, Vice Chairman, Secretary, and Treasurer. The following clubs were represented: Aloha Paradise Dancers, Diamond Heads ‘N Sides, Hayseeds, Pali Twirlers, North Shore Twirlers, Square Wheelers, and Tsunamis.

2. Minutes: The minutes of the February 1999 Meeting were reviewed. No corrections were noted and the minutes were accepted as presented. The Chair introduced Janet Granich and announced that she would be replacing Secretary Linda Bonney, who is being transferred to the mainland.

3. Treasurer’s Report: The Treasurer’s report for February was distributed for review. The balance was $2,204.83 in checking and $2,790.13 in savings for a total of $4,994.96. The Treasurer’s Report was accepted as presented.

4. Club Representatives: Clubs are requested to revalidate and submit the names of their representatives and alternates in writing to the Board of Directors, and to notify them of any changes during the year.

5. Committee Appointments: The Federation is still seeking volunteers to chair the following committees.

a. Advertising –

b. Social Calendar – Janet Granich has resigned as committee chair and Henry Staehle has accepted social calendar chairmanship. Henry is looking for updates for 2000 calendar.

c. Recruiting -

d. Convention – Dave Lemon will head the Convention planning committee.

6. Correspondence:

a. Letter from Hayseeds appointing Federation representative: Kim Akagi

7. Old Business:

a. Revised Bylaws: Still pending.

b. Year 2000 Convention slogan suggestions: "HI-2K".

c. Suggestions for Year 2000 Convention: Make available to the public basic square dance workshop, similar to that taught to the Chinese participants this year. Yona Chock offered her services.

d. Year 2000 Convention special events:

(1) North Shore Twirlers: (a) After-party whale watch and dancing on the Star of Honolulu on Sunday following the Convention; and (b) dancing and tour of the USS Missouri on Tuesday or Wednesday preceding the Convention.

(2) Diamond Heads ‘N Sides: Sunset dinner cruise and dance possibly on the Star of Honolulu, and preferably on Wednesday night.

(3) Pali Twirlers: Luau on the Bay, preferably on Wednesday night preceding the Convention.

(4) Hayseeds and Square Wheelers: Polynesian Cultural Center joint effort.

(5) Yona Chock suggested Fun Badge dance. Possibilities are dancing on the sand, black top, Bellows Field beach or water, after which dancer will receive a fun badge.

e. Callers:

(1) 47 of the convention attendees were visiting callers and their spouses who were admitted free. We should consider: (a) free admission to only those callers who are participating or bringing paying customers; and (b) limiting the number of participating callers to three or four and have them call in the same hall for the full evening. (Switching callers between halls in previous years seems to confuse both callers and dancers.) Note: Seven Convention critiques were submitted and are available for review.

f. Coconut Wireless: Yona Chock suggested the use of a bulletin board in a conspicuous place for messages between convention dancers.

g. Transportation: A flier should be completed and ready for distribution in May noting that bus transportation will cost $1.00 each way so that dancers will be aware.

8. New Business:

a. Federation Dues: All clubs except one are paid up.

b. Club Rosters are needed for insurance requirements. Request accurate count, names, addresses and phone numbers of members.

c. Convention summary – no new information to report

d. USA West is looking for a state to host their 2002 dance. Are we interested in possibly hosting it in August 2002? Should we change our convention date to coincide?

e. Square Wheelers are now tax exempt. All clubs should incorporate and can file for tax exempt status. The State has a publication on this subject.

9. Club Reports/Events: Reminder – written notes are requested to ensure accuracy.
