Subj: November ’98 Federation Meeting Minutes

The November 1998 Federation Meeting was convened at 4:35 p.m. on Nov 8th, 1998 at the Kahala Community Center.

1. Attendance: The Federation Chairman, Vice Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Diamond Heads & Sides, Tsunamis, Pali Twirlers, and Square Wheelers.

a. A total of 12 Federation members and guests were in attendance.

b. The Chairman opened the meeting and welcomed everyone. From the Chairman,

" The Federation Annual Meeting will be held on Saturday, January 30th, 1999 in conjunction with the 34th Aloha State Square and Round Dance Convention. This is the time when we will elect the new officers to serve on the Federation Executive Committee. The job doesn't pay very well, and the rewards are few and far between. But, you will have an opportunity to shape the future of our organization and enhance the enjoyment of all our dancers.

Are you willing to contribute a couple hours of your time each month to the Federation management? Please contact Tim Voss, head of the Nomination Committee and offer your services to our community.

Are you doing your share - or just letting George do it?"

2. Minutes: The minutes for the October 1998 Regular Meeting were reviewed. No corrections were noted and the minutes were accepted as presented.

3. Treasurer’s Report: The Treasurer’s report was distributed for review. The balance was $2,579.33 in checking and $2,755.57 in savings for a total of $5,354.90. The Register Report has been automated using Quicken and includes bills which will be paid January ’99. The Treasurer’s Report was accepted as presented.

4. Committees: Each Committee Chairperson present gave a brief outline of their duties and progress.

a. Advertising – November 21st Norm Hangman is starting a new class at the Bandstand. Ads are in the Midweek and Downtown Planet.

b. Social Calendar – Nothing new has been received. Janet Granich will look at the calendar to see what’s missing and contact folks. If you notice your special event is missing, please contact her.

c. Convention – Dave Lemon, after receiving no other volunteers, has accepted the Chairman position. We still need support in the following positions: Bus Coordinator and Hall Services Coordinator.

  1. Committee volunteers are as follows: Chairman – Dave Lemon; Bus Coordinator – ????; Caller Hospitality – Don & Joanne McNeil; Decorations – Janet Granich; Greeters – Jim & Esther Gresham; Hall Services Coordinator – ????; Fun Badges/Dance Tips – Tim Voss; Mailing Coordinator – Pat Murphy; Packets/Badges/Ribbons – Henry Staehle; Program Schedule – Andy Scott; Program Book – Bonnie Dotter; Registration – Gil Gilbert; Vendors – Kim Akagi.
  2. Sacramento Rainbow Stars Demo Team canceled due to a lack of member participation.
  3. Trail-in Activities (Option to book directly with clubs): There are no Kama’aina rates for the N. Shore Twirlers Cruise or the Pali Twirlers Luau.
  4. Diamond Heads ‘n Sides voted against hosting the Fashion Show. They will host the Magic Show.
  5. Hall Services (Setup, Water, Sweep, Trash) for each day are set up as follows: Thursday – Big Island Clubs; Friday – Maui Clubs, Saturday – Oahu Clubs.
  6. There are no vendors signed up, to date, per Kim Akagi.
  7. Janet Granich asks that each club brings its banner to the Convention (please let her know) and she is open to suggestions for decorations.
  8. Tim Voss says there are 3 federation sponsored fun badges set up: island dance/luau/purple heart.

5. Correspondence:

  1. Congratulations to the Square Wheelers and their guests who attended the Hobo Stew Night, Oct 12th. They contributed 64 pounds of canned goods to the Hawaii Food Bank and had a fun night of dancing in full Hobo dress. Well done!
  2. Additional congratulations are due to the U-Turners of the Big Island. Oct 27th they graduated 8 new Square Dancers into our fraternity, their largest single class in 10 years. Our compliments to Caller/instructor Hood Simon, and assistants Tom Schubert and Hank Grote.

6. Old Business:

  1. Revised Bylaws: Still pending Chairman’s review of May inputs.
  2. Hawaii State Dance Costumes: Vote closes in December.
  1. Royal Aloha Badge – have a price quote of $367 for 100 badges – placed on hold pending further research.
  2. Year 2000 Convention - Special Planning – Activities - Slogans – still looking for a Chairman, ideas, and recommendations for this End of Millenium convention. Please contact Dave Lemon with your ideas. Cut-off is December 1998.
  3. Memories Party – Looking for a club to host this. Could be a dinner or picnic. Need a location. Memorabilia (photo albums, keepsake items, etc.) to be supplied by guests. Dancing not required. Last chance to volunteer – this will be cut off next month.

7. New Business:

  1. J.D Jenkins & Company, Inc. Jan’99 insurance renewal is $750 (~$4/member). This is currently our only option. Please get with Dave Lemon if you have any other suggestions.
  2. Letter from APD Club – voted for blue/white; asked for reports about 1998 convention; felt someone other than the executive committee should audit the books; were concerned about the savings account – suggested a block should be put on it. A lengthy discussion addressed each of their issues and the Chairman stated he would send a written reply to the club.

8. Club Reports/Events: Reminder – written notes are requested to ensure accuracy.

  1. Senior’s Fun Night at the Arcadia Retirement Home, Nov 10th.
  2. Hayseeds Turkey Trot, 14 Nov / 6 p.m. at Makiki District Park.
  3. Hot Foot Stomp, Kilauea Military Camp 20 – 22 Nov. Call KMC for cabin reservations. Big Island Fed meeting Nov 21st.
  4. Round Dance Workshop, Palladium 9 Dec. Reservations required. Basic through Intermediate.
  5. Square Wheelers Christmas Brunch, Dec 13th at 9:30 a.m. at the Hale Koa. Toys for Tots Dance that night at the Ala Wai Golf Course starting 7 p.m.
  6. Convention registration is still $25. Goes up to $30 after December 1st.
  7. APD have gone from casual to formal square dance attire.
  8. Diamond Heads & Sides voted for the blue/white fabric and will be hosting a Christmas Party Dance (time TBD). Also November 27th, a reenlistment ceremony for Darren Gohl will take place during the dance.

9. Next Meeting: The next meeting of the federation will be held Sunday, December 13th at the Kahala Community Center (4:30 PM). The annual Big Island meeting will be held at the Hot Foot Stomp on November 21st.

10. Meeting was adjourned at approximately 6:05 p.m.
