Subj: September ’98 Federation Meeting Minutes

The September 1998 Federation Meeting was convened at 4:35 p.m. on Sep 6th, 1998 at the Kahala Community Center.

1. Attendance: The Federation Chairman, Vice Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Diamond Heads & Sides, Tsunamis, and Square Wheelers.

a. A total of 13 Federation members and guests were in attendance.

b. The Chairman opened the meeting and made welcoming remarks. He thanked Anne Morgan for her work in setting up the demonstrations at the various malls.

2. Minutes: The minutes for the August 1998 Regular Meeting were reviewed. Corrections noted were Gene Gelfo and Dottie Angel would work the Convention Badge Committee, not head the committee. Also, Ken Jordan would not be calling for the Tenderfoot Stomp. The minutes were accepted as corrected.

3. Treasurer’s Report: The Treasurer’s report was distributed for review. The balance was $1,538.46 in checking and $4,255.57 in savings. Questions concerning convention expenditures were addressed and the format of the treasurer’s report was discussed. David Lemon loaned the checking account $1,000 during the absence of the treasurer and vice chairman. He was reimbursed once they returned. The Treasurer’s report was accepted subject to audit.

4. Committees: Each Committee Chairperson present gave a brief outline of their duties and progress.

a. Advertising – Melissa Tjoe asked to be relieved as chairman. Dave Lemon thanked her for her work. We are now looking for someone to take over as advertising committee chairperson.

b. Social Calendar – No inputs were received for the social calendar.

c. USA West Convention Rep – Tim Voss noted that the convention was a success. There were over 2,000 participants, 6 from Hawaii. Next year’s event will be scaled down to meet the participation level.

d. Convention – We still need a chairperson. With some exceptions, all cuers and callers will be paid a $500 straight salary.

5. Correspondence:

a. Charleen Dunn - Letter of Appreciation for Family Night – Noted.

b. Rainbeaus & Belles – Postcard on State Costume Colors – received 8/13/98 – Noted.

c. IRS Letter – being worked.

6. Old Business:

a. Hilton Turntable – from last month’s discussion, a M-100 style turntable would cost $1245 and our old one would have a $550 value. Tim Voss requested he be allowed to purchase the turntable and accessories by paying for the refurbishing and then leasing it to the Federation free of charge for a five-year period. Motion was made, seconded, and carried to accept this offer.

b. Revised Bylaws: Still pending Chairman’s review of May inputs.

c. September – National Square Dance Month

  1. Chairman’s Letter – sent out last month. See Dave Lemon if you need a copy.
  2. Club activities: Thanks to Anne Morgan for the demos. A television promo was set up with KITV for September 14 from 5:30 a.m. to 7:00 a.m.
  3. Tenderfoot Stomp scheduled for September 24th at the Ala Wai Golf Course. Please bring pupus.
  4. Question was raised about square dance dress codes – to join a class there is no dress code.
  1. Hawaii State Dance Costumes: October meeting is the deadline for recommendations and selections of fabric/color patterns. Bring a sample of your nomination for final three selection.
  2. Royal Aloha Badge – we are still looking for someone to take over the job of getting the badge. Please let David Lemon know if you are interested.

7. New Business:

a. Year 2000 Convention - Special Planning – Activities - Slogans – still looking for a Chairman, ideas, and recommendations for this End of Millenium convention. Please contact Dave Lemon with your ideas.

b. Memories Party – Looking for a club to host this. Could be a dinner or picnic. Would need a location and memorabilia.

8. Club Reports/Events: Reminder – written notes are requested to ensure accuracy.

a. Federation Potluck Picnic/Beach Party & Dance held August 16th was a success. There was good food and lots of fun for the 32 folks who attended.

b. Mauna Kea Roundup moved to KMC. Cost is $25 for the weekend dances. Being held September 11 – 13th.

c. Tenderfoot Stomp. September 24th, Ala Wai Golf Course. Ken Jordan and Norm Hangman are the callers. Need angels. Bring puu puus. 7:30 – 9:30 p.m. Contact Dave at 456-8465.

d. APD’s voted for royal blue/white Hawaiian print for the state dance costume. They will be dancing September 24th. Jack Carruthers has volunteered to head the Aloha Coordination Committee for the Convention. And the APD Anniversary Dance will be held on Wednesday, February 24th, 1999 at the Palladium.

e. Pali Twirlers will be hosting a Halloween dance at the Palladium on October 25th.

f. No other clubs had any input.

9. Next Meeting: The next meeting of the federation will be held Sunday October 11th at the Kahala Recreation Center (4:30 PM).

10. Meeting was adjourned at approximately 5:40 p.m.
