Subj: April ’98 Federation Meeting Minutes

1. The April 1998 Federation Meeting was convened at 4:00 p.m. on April 18th, 1998 at the Pukalani Upcountry Community Center, Pukalani, Maui. The meeting was held in conjunction with the Maui No Ka Oi Square and Round Dance Festival.

  1. Attendance: The Federation Chairman, Vice-Chairman, and Treasurer were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Hi Hopes, Maui Mixers, North Shore Twirlers, and Slewfoot Promenaders.
    a. A total of 17 Federation members and guests were in attendance.
    b. The Chairman opened the meeting, made welcoming remarks, and introduced the Executive Board and Committee Heads present.
  2. The minutes for the March 1998 Regular Meeting were reviewed. Some minor typographical corrections were noted. The minutes were accepted as published.
  3. The Treasurer’s report was distributed for review. The balance was $2,314.48 in checking and $5,218.73 in savings for a total of $7,533.21. Following a brief discussion, the Treasurer’s report was accepted subject to audit.
  4. Each Committee Chairperson present gave a brief outline of their duties and progress.
    a. The Convention Chairman, Mr. Robert Keller, reviewed the 1999 Convention Planning and invited each club to become proactive in designing and implementing convention special events. The Headseeds and Square Wheelers have joined forces to host a "Polynesian Adventure Dance" at the Polynesian Cultural Center. The Pali Twirlers will host a luau, and the Lava Klinkers will host a "Volcano Tour and Dance at KMC on the Big Island.
    b. The Advertising Chair, Ms. Melissa Tjoe, discussed her progress in obtaining free advertising in the local newspapers and trade publications. Clubs planning special events, which are appropriate for public advertising, are requested to notify Melissa at least 30 days in advance of their event.
    c. Mr. Lemon reviewed the overall annual calendar program plan and requested clubs provide a running documentation of their special events, two years in advance. A Federation Social Calendar will be published periodically by Ms. Janet Granich and Mr. Henry Staehle.
  5. Correspondence: No noteworthy correspondences were received.
  6. Old Business: 1998 Federation dues have been received from all clubs with the exception of the Rainbows and Belles.
    a. The Hayseeds have completed their "Incorporation" initiative and are now working to complete the tax exemption filing.
    b. The Chairman distributed the newly published 1998 Federation Address Book to those present. Please correct any errors or omissions and forward changes to the Federation address. Additional copies will be mailed to each outer island club.
  7. New Business:
    a. A Senior Citizens Fun Night has been scheduled for May 29th at One Kalakaua Senior Citizens Center. Help will be needed to conduct an exhibition and join in the fun with the residents. Andy Scott will call and direct the activities.
    b. A second request for an exhibition dance has been requested for the Moanalua Gardens Retirement Center, Honolulu.
  8. Club Reports: Each Club Representative was given an opportunity to detail their club activities. Special items of note included:
    a. Aloha Paradise Dancers will be holding their Anniversary Dance in February each Year.
    b. Maui Mixers will host a "Honor Your Caller/Cuer Night" in May. It was suggested that other clubs join in the initiative and recognize our dance leaders for their efforts.
    c. U-Turners will be starting a new Square Dance class April 28th in Hilo. Contact Hood Simon for details.
  9. Caller Workshop: Mr. Bill Peters reported on the results of the Maui Callers Workshop held during the week preceding the Maui No Ka Oi Festival. Five callers attended the workshop. ½ of the costs were paid from the Federation Treasury.
  10. The President of the Hayseeds, Mr. Dave Lemon offered up the observation that the Hayseeds are believed to be the oldest, active, Square Dance Club in Hawaii. The club was formed in April 1946. Are there any other clubs which may dispute the claim?
  11. Next Meeting: The next meeting of the federation will be held Sunday May 17th at the Kahala Recreation Center (4 PM) due to Mother’s Day on May 10th.
  12. Meeting was adjourned at approximately 4:50 p.m.
