Subj: February ’98 Federation Meeting Minutes

  1. The February 1998 Federation Meeting was convened at 4:30 p.m. on February 8th, 1998 at the Kahala Community Recreation Center.
  2. Attendance: The Federation Chairman, Vice-Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Pali Twirlers, Square Wheelers, Diamond Heads ‘n Sides, Aloha Paradise Dancers, Hayseeds, and North Shore Twirlers.

    1. A total of 15 Federation members and guests were in attendance.
    2. The Chairman opened the meeting and made welcoming remarks. He then introduced the new members of the Executive Committee. See attached list for names.
  4. Minutes: The minutes from the 23 January 1998 Annual meeting were reviewed. Paragraph 9c. was corrected to read "Maui No Ka Oi is April 17th, 18th, and 19th. The minutes were accepted as corrected.
  5. Treasurer’s Report: The treasurer reported that convention income was $9,265 with outgoing expenses to date of $5,251.66. Not all bills have been submitted and anticipate approximately $2,000 more in bills.

    1. Request was made to get all convention bills submitted to the outgoing treasurer.
    2. Report was accepted as presented subject to audit.
  7. Acknowledgements: Dick and Donna Kofford were presented a Koa clock with inscription in appreciation of Dick’s term as Chairman of the Federation from 1992 through 1998. Dick thanked everyone and remarked that he enjoyed serving.

    1. North Shore Twirlers representative was changed to Dave Chadwick.
    2. Hayseeds representative is Kim Akagie.

    1. Tim Voss, and Dave and Ruth Fullaway have accepted the appointment as USA West representatives for the State. We extend our appreciation to these volunteers who will be filling a position critical to continuing the US West Alliance.

      1. The Slewfoot Promenaders, with caller Bill Yoeman, have requested admission to the Federation as a caller run club. Mrs. Kofford made the motion to accept their request and was seconded by Mr. Henry Staehle. The motion was carried pending receipt of their membership list and annual club dues of $50.
      2. Tsunamis Square Dance Club made formal application for admission to the Federation as a caller run club. This club would arrange special dances only – there would be no regular dancing. Tim Voss made a motion to accept the club’s application and was seconded by John Zapotocky. A lively discussion ensued concerning possible conflicts with regular club dances and special dances. The motion was carried pending receipt of membership list and annual club dues of $50.
    3. Committee Chairs: We need volunteers to take on these jobs.

      1. Advertising. (Melissa Tjoe has accepted the appointment).
      2. Social Calendar:

        1. Janet Granich, with the assistance of Henry Staehle, has accepted the position of Federation Calendar Chairman. They will maintain a state wide Calendar of Events which will continuously detail the next 24 months of activities. The Federation will publish and distribute the information periodically as needed.
        2. The objective of this effort will be to assist clubs and their membership with long range planning information. Hopefully each club will refer to the calendar when scheduling activities to minimize conflicts.

      4. Coming Events: will be taken from the Social Calendar. This will be a one page snapshot of the near term events. (Tina Maria Jordan has accepted the appointment)
      5. Hotline: John Zapotocky began this with a telephone answering machine. It is now a computer automated service with a running journal of four voice mailboxes with three minutes of recorded information on Square and Round Dance activities throughout the state for each mailbox. (Ken Jordan has accepted the appointment).
    5. Hawaii Food Bank Drive Entertainment on April 18, 1998:

      1. These will be one-hour exhibitions in various shopping centers. Yona Chock volunteered to call for two of the shopping centers, Mililani Shopping Center from 12 – 1 p.m. and Pearl City Shopping Center from 2 – 3 p.m. Norm Hangman will be at Restaurant Row from 2 - 3 p.m. Dancers will be needed to fill in the squares. Please contact Dave Lemon at 456-8465.
    7. Maui No Ka Oi Festival Dance: April 16 – 18, 1998

      1. Federation support of Bill Peter’s Caller Workshop to be held April 12 – 15, 1998 was requested. The workshop costs $200 per day for 4 days. The Federation expense would be half the expense ($100/day X 4 days = $400). A motion was made by Henry Staehle to subsidize the workshop and was seconded by Tim Voss. A question was brought up about volunteer dancers – to be checked on. The motion was carried.

    1. Club representatives present was given a brief opportunity to present a summary report on their respective club activities. The chairman requested that in the future, they write out specifics to get accurate reporting.
    2. North Shore video is still being shown. Dick Kofford ordered copies of the video if anyone is interested, please see him. Also Xavier Martin will order them at $10.00 a copy. Please email him at marty@lava.net or call 637-3203.
    3. Diamond Heads ‘n Sides Spring Fling will be held 27 March 98 at the Ala Wai Golf Course.
  16. Next Meeting: The next meeting of the Federation will be held at the Kahala Community Recreation Center March 8, 1998 at 4:30 p.m.
  17. Meeting was adjourned at 5:30 p.m.
