Subj: January '98 Federal Meeting Minutes 1. The January 1998 Federation Meeting was convened at 4:00 PM on 11 January 1998 at the Kahala Community Recreation Center. 2. ATTENDANCE: The Federation Chairman, Vice-Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Diamond Heads 'n Sides, Hayseeds, and Square Wheelers. A. A total of 13 Federation members and guests were in attendance. B. The Chairman opened the meeting and made welcoming remarks. 3. MINUTES: The minutes from the 14 December 1997 Federation meeting were reviewed. Paragraph 2. Insurance was corrected to read "40 companies were contacted". The minutes were approved as corrected. 4. TREASURER'S REPORT: The Treasurer submitted his Transaction Report for the preceding 30 days. The balance was reported as $4,230.43. Copy will be attached to mailing. A. An extensive discussion was held concerning the procedures for establishing fees paid to the convention callers and cuers. The Chairman advised that in order to insure adequate callers were available, he and the Convention Chairman had made the decision to authorize airfare payments for three callers: Mr. Hackler, Mr. Hattrick, and Mr. Weaver. B. Mr. Jordan recommended that a contract be developed (up to two years in advance) with nationally recognized callers in order to insure a quality staff. C. Mr. Voss recommended that a formal procedure be established to obligate Federation funds to acquire convention caller/cuer services. Mr. Lemon indicated that a policy has been written into the pending by-law revision. D. Report was accepted as presented subject to audit. 5. CORRESPONDENCE: New correspondence were reviewed. Mr. Ken Jordan submitted a letter addressing caller/cuer convention acquisition and offered several recommendations to improve the management and procedures for obtaining services. The Board accepted the letter with appreciation and will pass it along to the next Convention Chairman. 6. COMMITTEE REPORTS: A. Convention: Mr. Jack Carruthers, Convention Chairman gave a summary report on convention preparations. 194 registrations have been received to date. Progress was reported as generally satisfactory. All preparations and schedule were reviewed in depth.

Mr. Dave Lemon thanked Ken Jordan for managing the system while he was on the mainland. 7. OLD BUSINESS: A. Federation Insurance: The Federation Insurance Policy expires January 14th 1998. A written response was received from only one company and an additional company had indicated an interest via a telephone call. The Chairman will select an appropriate provider and ensure we have a policy in place prior to the convention. 8. NEW BUSINESS: A. Mc Cloud Square Dance Seminars: Ms. Donna Kofford summarized the McCloud Square Dance Seminar Prizes which will be offered as a door prize at the convention. Two package options are available for either a weekend or 5 day course. Price includes all workshops and dances and some amenities. Transportation and lodging costs are not included. B. National Square Dance Directory: Mr. Lemon indicated that he would order 1998 Directories at the end of January. Bulk price in lots of five or more is $5.00 each. Order requests should be received before 31 January 1998. Ph 456-8465. Mr. Kofford indicated that the Federation has a life time subscription. C. Monocracy Dance Workshop: Ms. Yona Chock summarized a planned seminar workshop on Monocracy Dance tentatively scheduled for February 11th. More details to follow. 9. COMING EVENTS: A summary of coming events was presented. Of note: A. St. Patrick's Day Festival: Rainbeaues & Belles present its 19th Annual St. Patrick's Day Festival with Naaman Morehouse and Freddie Loveless. March 13, 14, & 15th, 1998. University of Hawaii-Hilo Cafeteria. $25 advance registration by 1 March requested. Call (808) 982-9276 or 965-8693 for information. B. Convention After Party Cruise: North Shore Twirler's After Party Whale Watching Square Dance Cruise on January 25th from 8:30 AM till noon. Party will be unique and an event not to be missed. Advance registration is requested. Contact Bob at 488-8802. C. Maui No Ka Oi Dance Festival: Up Country Community Center, Pukalani Maui 24 26 April 1998. 10. CLUB REPORTS: Each Club Representative present was given a brief opportunity to present a summary report on their respective club activities. Significant events are included in the Coming Events paragraph. 11. NEXT MEETING: The next meeting of the Federation will be the Annual Meeting, held in conjunction with the Aloha State Square and Round Dance Convention. Meeting time will be 4 PM on Friday January 23rd at the Ala Wai Golf Course Ballroom All Federation Dancers are welcome and encouraged to attend. The next regular business meeting will be held on Feb 8th at 4 PM in the Kahala Community Recreation Center. 12. Meeting was adjourned at 5:45 PM. v/r Dave Lemon |
