Federation Meeting - Dec. 14, 1997

1. The meeting was called to order at 3:08 p.m. by Chairman Dick Kofford. Officers present were Vice Chairman John Gallagher, Treasurer Al Chock (who was asked to record the minutes), and Federation Representatives in attendance were Jack Carruthers (alternate, Aloha Paradise Dancers), Tim Voss (Hayseeds), John Zapotocky (Square Wheelers), and Don McNeil (Diamond Heads 'n Sides). Others attending were Ken Jordan (caller), Yona Chock (caller, and Board Member, Hawai'i State Dance Council), Donna Kofford (DHS & APD), Joanne McNeil (DHS & APD), Melissa Tjoe (Spares & Pairs). The Secretary was on extended travel to the East Coast and Colorado.

2. Correspondence - Insurance: Four companies were contacted; only one has replied to date, but it declined to meet the subject stipulations.

3. 33rd Aloha State Square Dance Convention (Jack Carruthers):

a. Decorations: No response yet from clubs; need to have fresh ideas; otherwise we will have it done as in the past.

b. Banners: Each club should bring their own banners (REMINDER: no tape, no tacks; suction cups on the windows as in the past).

c. Assignments: Clubs (those that would normally meet on the Convention night) to have dancers put up chairs (e.g., Thursday: Pali Twirlers & Aloha Promenade Dancers; Friday, Diamond Heads 'n Sides; Saturday, Hayseeds). It was pointed out that a roster of names needs to be submitted to the Chairman.

d. Transportation: Tim Voss obtained quotes from four companies after a mail-out of 78 companies (total cost: $39.96). One company would charge $1 per person per trip (one way); with a guarantee by the Federation of 100 seats for $10; trip runs between 6-6:30 p.m. and after 10 p.m. There would be three stops, no luggage; Jack will contact the company to finalize the arrangements.

e. Master of Ceremonies: Al Chock was asked to MC the Saturday ceremonies. Yona Chock will be doing the commentary for the Fashion Show (provided that someone writes the script).

f. Callers/Cuers Schedule: This has been completed by Ken Jordan. A question (by a person who was away during the summer) was raised concerning the "Beach Dance". It was pointed out that it was voted in the summer to replace it with the Star of Honolulu cruise which is being sponsored by the North Shore Twirlers.

g. No Monday Night Dance: Because of a City & County holiday (Martin Luther King Day), the Ala Wai facility will not be available on Jan. 19.

h. Leis: A sample of a ribbon-style lei, made by Tina Maria Jordan, was shown to the attendees. It was suggested that it be given to the callers/cuers/committee chairs instead of the usual kukui leis (of which most locals have quite a large collection). The cost for materials for 80 leis would be about $200 without the bows ($1.30 each, after-Xmas sale). Tim moved, and Jack seconded the adoption of the ribbon leis, and the motion was carried unanimously. Tina was thanked for volunteering her labor for this project.

i. Vendor: The vendor from Burien, WA will be here again, with their "store" at the hotel.

j. Program Layout: Ken has the program layout from David Lemon. It was decided that the charge for ads would be $12.50 for 1/8 page (business card); $25, 1/4 page; $50, 2 page; and $100 full page. One ad had been received from Rita's Fashions (2 page)

k. Packet "Party": will be on Jan. 17 (afternoon) at the Pearl City Community Center.

l. Registrations to date are 157, with AK (2), AZ (2), CA (6), CT (2-caller & partner), FL (2), HI (65; of which 7 are callers/cuers & partners), MI (4), NJ (2), NM (4), OH (2), OK (2), OR (29), UT (2), WA (9), Australia (18, 2-caller/cuer), Canada (1-AB, 2-BC), New Zealand (2), Sweden (1).

m. Partial (one-day) Registration Fee will be $5 per person for the Thursday night (Jan. 22) dance; $15 per person for the Friday (Jan. 23) dance and/or workshop; and $15 per person for the Saturday (Jan. 24) dance and/or workshop.

n. Trail-in Dance Fees: Tuesday night (Jan. 20), $2 with this amount to go to the band; Wednesday night (Jan. 21), which will be called by Monty Hackler (OK), $5.

4. Upcoming Events:

a. Toys for Tots dance tonight, sponsored by the Square Wheelers, with the Federation to pay the hall rent (if we are charged; last year since it was a charitable event, no fee was required). All callers and cuers have been invited to come to the dance. Admission is one unwrapped toy.

b. New Year's Eve Dance is being sponsored by Ken & Tina Marie Jordan, and Kathy & Tom Barnhart, which will include all levels, even beginners. It will be held at the Catlin-Halsey-Radford-Miller Recreation Center off Camp Catlin Drive. $10 pre-sale, $12 at the door. Pre-rounds at 8:00 p.m., and 2 x 2's at 8:30 p.m.

5. 1998 Officers: No one has indicated an active interest in running. Instead of holding the election at the December meeting, it will be postponed to the Annual Meeting (Friday, January 23, 4 p.m.), which will give the outer island representatives a chance to vote. Please contact the Vice Chairman John Gallagher [tel. (808)683-0118; 91-983 Nohoihoewa Place, Ewa 96706; e-mail: jpgall@worldnet.att.net) if you have a candidate (you must have that person's statement indicating a willingness to serve as an officer) or are interested in running for a Federation office. The fiscal year begins on Feb. 1, 1998. The requirements (Article V, Section 1) for holding an office are:

a. Chairman/Vice-Chairman: "shall be nominated from the membership of the Club Representatives, present or past, to the corporation or from former Directors of the Hawai'i Federation of Square Dance Clubs, an unincorporated association, predecessor to this Corporation."

b. Secretary and Treasurer: "may be nominated from the general membership" (i.e., must be a member of a Federation club).

6. Hawai'i State Dance Council's The Vice-Chairman read a letter from the HSDC to each of the Federation's participants (Kim Akagi, John & Akiko Gallagher, Priscilla Goodick, Janet Granich, Jim & Esther Gresham, David Lemon, Larry Segedin, and Henry Staehle) in the American Folk Dance program under the direction of Yona & Al Chock, which included a square dance medley, a round dance (Frenchie Brown), and a English country dance (Farmers Jig):

On behalf of the Hawai'i State Dance Council we would like to thank you for your participation in our 1st Annual Dance Faire. Your dancing was so entertaining and your participation helped to create an exciting evening. The church was the perfect space to appreciate the intricate patterns you weaved and the audience seemed to really enjoy learning the steps.

Thank you for your willingness to support Al and Yona and the Hawai'i State Dance Council.

We have received very positive feedback regarding this event and hope to repeat -- bigger and better - next year. We hope that you will be willing to donate your talent again.

John concluded that the program, which included 12 different dance forms, was well worth the time.@

7. USA West 1999 will be held at the Las Vegas Convention Center August 11-14, 1999. A pre-convention registration form ("Silver Certificate") may be purchased prior to March 1, 1998 for $25 per person; pre-registration is $35, and at the door, $40. These certificates may be exchanged subsequently for a registration to the Third Annual USA West Square Dance Convention. The registration address is USA West Square Dance Convention - Las Vegas, PO Box 12837, Las Vegas NV 89112-0837 (VISA, MasterCard, and Discover are accepted).

8. Advertising: We need to do a better job of publicizing dance activities. People claim that they "don't know".

9. Minutes were accepted as written.

10. Treasurer's Report:

a. $2,423 was received for Convention registrations; and a $35 check was issued to the Hawai'i State Dance Council for organizational membership, with a checking balance of $5,164.09. The savings account balance is $5,173.73

b. The Treasurer apologized to the Lava Klinckers for not listing them as members. They paid on time, and actually prior to the beginning of the fiscal year (Feb. 1, 1997), hence their absence from the report.

All of the square dance clubs in the State are members of the Federation, with the exception of two clubs: Slewfoot Promenaders on the Big Island, and Spares & Pairs of Honolulu.

c. Clubs are reminded that the club dues of $50 are due before Feb. 1, 1998. It is suggested that payment be made at the Convention. Checks should be made to the Hawai'i Federation of Square Dance Clubs.

11. New Business: None.

12. Club Reports:

a. 1-1/2 squares were graduated on Dec. 13; 7 plus dancers on Dec. 6.

b. 'n Sides Bring food for the pot-luck Christmas dance on Dec. 19.

c. (with the Spares & Pairs): Stan Burdick will call a special dance on Jan. 15, Thursday, at the Ala Wai Golf Club Multi-Purpose Facility (a.k.a. "Palladium")..

d. Square Wheelers: Valentine dance on Sunday, Feb. 8, from 6:30 to 9:30 p.m. at the Ala Wai.

13. Jan. 20 dance: Flyers for beginners classes should be made available for distribution at the Tuesday dance.

The next meeting will be held on Sunday, Jan. 11, at 3 p.m. at the Kahala Community Park, 4495 Pahoa Avenue, Honolulu.
