Subj: October '97 Federal Meeting Minutes

The October 1997 Federation Meeting was convened at 3:00 PM on 19 October 1997 at the Kahala Community Recreation Center, Honolulu, HI.

ATTENDANCE: The Federation Chairman, Vice-Chairman, Secretary, and Treasurer were in attendance. The following club representatives where present: Aloha Paradise Dancers, Diamond Heads 'n Sides, Hayseeds, North Shore Twirlers, Pali Twirlers, and Square Wheelers. A total of 16 Federation members and guests were in attendance.

The Chairman opened the meeting and made welcoming remarks.

MINUTES: The minutes from the 14 September 1997 Federation meeting were reviewed. The minutes were corrected to note that the Pali Twirlers representative was in attendance. The minutes were approved as corrected.

TREASURER'S REPORT: The Treasurer's reported no significant change in the accounts from the September meeting. Checking Account balance was $1,841.46 and the Saving Account balance was $5,154.86. The Treasurer indicated that 57 paid registrations have been received for the 1998 Convention including one from Sweden. Only four paid Hawaii registrations have been received. December 1st is the cut off date for $25 registration.

CORRESPONDENCE: A letter from North Shore Twirlers was received completing the requirements of the By Laws for Federation membership.

COMMITTEE REPORTS: Convention Chairman gave a verbal report on the convention planning. Progress was reported as generally satisfactory. A need for a Chairman of the Decorating Committee was identified and volunteers were requested. The State Governor has been invited to welcome the attendees at the Grand March. No reply has been received as yet. Channel Two News will provide "live" coverage of the convention at 6 AM on January 22nd. Dancers will be needed for background.

The Convention has received a gift package of two free 5-day stays at the McCloud Square Dance Resort. The package will be raffled off at the convention. A Convention Committee meeting will follow the Federation meeting.

COMING EVENTS: A summary of coming events was presented. Of note:

Turkey Trot will be hosted by the Hayseeds and Spares 'n Pairs on Saturday November 15th at the Ala Wai Park Community Center. Class at 4 PM, dinner at 6 PM and dance at 7:30 PM. Turkey and all the trimmings will be provided. Visitors and Guests $5.00. Contact Ann Todd at 239-6325.

Hot Foot Stomp will be held on November 21-23rd at KMC, Volcanoes National Park, Hawaii. Advance reservations are recommended. On Oahu call 438-6707. The November Federal Meeting will be held in conjunction with the festival.

Federation Champaign Christmas Brunch will be hosted by the Square Wheelers at the Hale Koa Hotel in Waikiki on December 14th at 9:30 AM. Cost is $18.65 including tax. Reservation required. Validated parking in the Ft. DeRussy Garage. RSVP with Mel Pederson of the Square Wheelers. Ph: 922-9194. All dancers are invited.

HOTLINE: Hot Line operation continues to function well. Club representatives most ensure that information is forwarded to Dave Lemon, Ph: 456-8465.

OLD BUSINESS:

State Roster: Tina Maria Jordan is collecting corrections to the State Roster. Roster will be published in early November. The computer database will be available to all. Forward corrections to: Tina Maria Jordan, 7238-D Okika Place, Honolulu HI 96818-4563.

Hawaii State Dance Council invitation for membership was received in August. Copies were provided to all clubs in September. Federation membership will cost $35 per year and provide an opportunity to promote American Square Dance activities. A Federation vote will be taken in November. Clubs with dissenting views should formally advise the Executive Board.

Royal Aloha Badge art work has been completed and forwarded to three potential supplies. Two responses were deemed of inadequate quality to meet the Federation requirement. New suppliers will be contacted. Recommendations are requested. Contact Dave Lemon: 456-8465.

American Square Dance Magazine's Date Line Column. Dave Lemon reported that he had contacted the old and new editors and provided information needed to add the convention to the Date Line Column.

47th National Convention Fashion Show. Dave Lemon and Kim Akagi of the Hayseeds have accepted the invitation to represent Hawaii in the National Convention Fashion Show in Charlotte N.C. in June 1998.

NEW BUSINESS:

USA West Membership. A motion for the Federation to join the USA West Policy Board was approved by a vote of the majority of the Federation Representatives present. No dissenting opinions were received from the outer island clubs. The Executive Committee will review the By Laws to identify the Federation requirements for state representative.

New Year's Eve. The Federation has been approached about staging a Square Dance Exhibition in conjunction with the Honolulu 1st Night Celebration. The exhibition would compete with any scheduled club activity. Club's planning a New Year's Eve Dance or other activity, are requested to coordinate their activity with Ken Jordan and Bob Keller and advise the Federation via their club representative.

Federation Insurance. The Federation Insurance Policy expires January 14th 1998. The Secretary volunteered to seek bids for renewal from appropriate underwriters patterned after the United Square Dancers of America Policy. Members with contacts in the insurance industry are welcome to contact Dave Lemon with appropriate references or referrals.

CLUB REPORTS: Each Club Representative present was given an opportunity to present a summary report on their respective club activities. Significant events are included in the Coming Events paragraph.

North Shore Twirlers reported that 13 reservations have been received for the post Convention Square Dance Cruise.

Square Wheelers will host the annual Toys for Tots Dance on Sunday December 14th.

NEXT MEETING: The November meeting will be scheduled during the Hot Foot Stump Festival at Kilauea Military Camp.

Meeting was adjourned at 4:05 PM.
