Subj: September '97 Federal Meeting Minutes ATTENDANCE: The Federation Vice-Chairman, Secretary, and Treasurer were in attendance. The following club representatives where present: Aloha Paradise Dancers, Diamond Heads 'n Sides, Hayseeds, and Square Wheelers. A total of 17 Federation members and guests were in attendance. The Vice-Chairman opened the meeting and made welcoming remarks. MINUTES: The minutes from the 10 August 1997 Federation meeting were reviewed. The address listed on Page 2 for Tina Marie Jordan was corrected to read: 7238-D Okina Place, Honolulu HI 96818-4563. The minutes were approved as corrected. TREASURER'S REPORT: The Treasurer's reported no change in the accounts from the August meeting. Checking Account balance was $1,519.18 and the Saving Account balance was $5,122.87. The Treasurer indicated that 21 paid registrations have been received for the 1998 Convention. 14 from Australia, 2 New Jersey, 3 New Mexico, 2 Japan. CORRESPONDENCE: A letter from North Shore Twirlers was received requesting Federation Membership. A letter from Hawaii State Dance Council was received inviting the Federation to join the organization. COMMITTEE REPORTS: Convention Chairman was out of town and no report was available. Linda Bonney has agreed to assume the duties of Convention Fashion Show Chairperson due to the transfer of Sharon Gerdes to the mainland. COMING EVENTS: A summary of coming events was presented. Of note: The North Shore Twirlers are hosting a video film crew on Oct 7th at the Wailua Community Center to film a Public Access Channel production on Square Dancing. All dancers are invited to join in. A potluck dinner is planned. Dance will begin at 7 PM. Contact Bob at 543-7375. Hot Foot Stomp will be held on November 21-23rd at KMC. Advance reservations are recommended. On Oahu call 438-6707. The November Federal Meeting will be held in conjunction with the festival. Federation Champaign Christmas Brunch will be hosted by the Square Wheelers at the Hale Koa Hotel in Waikiki on December 14th at 9:30 AM. Cost is $18.65 including tax. Reservation required. Thanks Ken for your help in furthering our cause. STATE ROSTER: Tina Maria Jordan has completed the data entry for the State Roster. Draft copies have been forwarded to all clubs for verification. Corrections should be provided to Tina Maria by 1 October. Roster will be published in early November. The computer database will be available to all. Forward corrections to: Tina Maria Jordan, 7238-D Okina Place, Honolulu HI 96818-4563. 276 Hawaii Dancers have been registered as federation Members. 112 Oahu, 55 Maui, 109 Big Island. OLD BUSINESS: USA West Membership. The question of Hawaii joining the USA West Policy Board will be voted upon at the October Federation meeting. All clubs should have reviewed the Policy Board By Laws in September and taken a club vote to be relayed to the Federation Board of Directors before 19 October. NEW BUSINESS: A motion was made to accept the North Shore Twirlers' application for membership. The motion was carried without objection with the requirement that that application be amended to comply with the By Laws requirement for the club to formally agree to abide by the Federation By Laws. Ms. Yona Chock agreed to relay the requirement for amendment. The club has 18 members registered. The letter from the Hawaii State Dance Council was reviewed. Copies have been provided to all clubs. Federation membership will cost $35 per year and provide an opportunity to promote American Square Dance activities. A Federation vote will be taken in November. It was pointed out that the 33rd Hawaii State Convention is not listed in the American Square Dance Magazine's Date Line Column. Dave Lemon agreed to contact the magazine. Tim Voss summarized his visit to the Denver USA West Convention and participation in the USA West Policy Board meeting. Hawaii participation is being actively solicited and Tim encouraged a positive vote to the federation invitation. It appears to be a win-win situation.Federation Reps should be prepared to vote their club's recommendation or forward their club position to the Executive Committee. Dave Lemon summarized the results of his research on Square Dance Club Tax liabilities. Club's registered as non-profit social organizations are not required to file income tax reports if they gross less than $25,000 per year. IRS Publication 557, Internal Revenue Code Section 501(c)7, and IRS Package 1024 provide additional information and procedures for filing for tax-exempt status. A motion was made to formally recognize Bryan and Sharon Gerdes for their contribution to Square and Round Dancing in Hawaii throughout the past year. Motion was approved without exception and the Federation Secretary was requested to provide an appropriate Certificate of Appreciation. CLUB REPORTS: Each Club Representative present was given an opportunity to present a summary report on their respective club activities. Significant events are included in the Coming Events paragraph. NEXT MEETING: The October meeting has been scheduled for October 19th at the Kahala Community Recreation Center.
