electronically in the future. Subj: July '97 Federal Meeting Minutes The July 1997 Federation Meeting was convened at 1:00 PM on 13 July 1997 at the Kahala Community Recreation Center, Honolulu, HI. ATTENDANCE: The Federation Vice-Chairman, Secretary and Treasurer were in attendance. The following club representatives where present: Aloha Paradise Dancers, Diamond Heads 'n Sides, Hayseeds, Pali Twirlers, and Square Wheelers. A total of 25 Federation members and guests were in attendance. The Vice-Chairman opened the meeting and made welcoming remarks. MINUTES: The minutes from the 8 June 1997 Federation meeting were reviewed. The minutes were approved as submitted. TREASURER'S REPORT: The Treasurer indicated no changes since the last meeting with the exception of an increase in the checking account balance of $6.35 interest. CORRESPONDENCE: New correspondences were reviewed. Of significance were receipt of the Maui Mixers Constitution and By Laws, and a request from Successful Meeting Data Bank for information to be published in the Directory of Conventions Regional Edition. Diamond 'n Sides formally advised the Federation that they were not interested in hosting the pre-convention Monday night dance. COMMITTEE REPORTS: Tina Marie Jordan is continuing the development of the state Square Dance Roster. All clubs are requested to provide an updated roster to Mrs. Jordan no later than 1 September (sooner the better). Forward to: Tina Jordan, 103E 19th St., Honolulu HI 96818. Convention Chairman was off island. SCHEDULED EVENTS: A summary of future events was presented. Ka'u Kickers 2nd Annual Summer Dance Festival will be held July 22nd in Ocean View Community Center, Kailua Kona. Square Wheeler's 39th Anniversary Dance will be held at the Ala Wai Palladium on Monday August 4th. Callers Norm Hangman, Andy Scott, and Ken Jordan will join forces for the dance. Bryan Gerdes will cue. Callers and Cuers Association will host a Tenderfoot Hobo Dance on August 10th at the Ala Wai Palladium. All newcomers are welcome. Angels are needed to lend a helping hand. Bring a canned vegetable for the stew. No pork 'n beans please. Donations at the door to help pay for the hall. The annual Federation Picnic, hosted by the Pali Twirlers, will be held on Sunday Aug 26th at Bellows Air Force Base Beach pavilion. Kick off is noonish or sooner if desired. Swimming, games, and dancing for all. Hot Foot Stomp will be held at Kilauea Military Camp on November 21 - 23 1997. Make your reservations early. On Oahu call 438-6707. Bob Keller is going to call a one hour square dance program. OLD BUSINESS: US West Membership. No new information was available. Monday Pre-convention Dance: No clubs have indicated an interest in officially hosting the Monday night dance as a pre-convention Federation activity. The Square Wheelers indicated that they have traditionally held their Monday night dance at the Palladium during the convention week and the dance was not a Federation Activity associated with the official convention program. A motion was made, seconded and approved that "Unless the Federation formally extends the convention to cover the preceding Monday, the Federation has no interest in changing the Square Wheelers' tradition of holding their normal Monday night dance at the Palladium." Strategic Planning Initiative: The Executive Committee's plan to focus Federation resources (people talent) on three specific initiatives to increase Square and Round Dance activity was reviewed. The initial objectives are Publicity, Public Awareness, and Membership Drives. The only club response received was a letter from the Diamond Heads 'n Sides. The club indicated support for the concept of the initiatives but recommended that the Federation form committees from all Federation members rather than asking the clubs to assume responsibility. No other comments were received. Further discussion was tabled
until August to permit other clubs to review the subject. NEW BUSINESS: The North Shore Twirlers Square Dance Club presented a proposal for a club hosted, Federation supported, post convention Trail Out Dance. The concept was favorably received and recommended to the Convention Chairman for a formal decision. Mr. Bob Keller indicated that an early commitment was needed to permit the planning to proceed. Mrs. Carruthers was requested to confirm the Convention Chairman's approval as soon as possible. Mr. Bob Keller mentioned the Wheel Chair Dancer's recent loss of equipment due to a vehicle accident while returning from the Nation Convention. He encouraged clubs to consider collecting donations to assist the club in recovering from the accident. Contact Mr. Keller for details. Mr. Ken Jordan discussed the June/July American Square Dance Magazine article on an advertising initiative on the mainland. Program provides radio advertising on Square Dancing and offers an 800 phone number for requesting additional information. Mr. Lemon agreed that the Federation Secretary would develop an information package for distribution to interested parties via the service. Mr. Tim Voss presented a proposal for packaging hotel rooms for the 1999 Convention. Planning would begin now to develop the advertising and publicity. The plan would not obligate the Federation to any commitments or guarantees other than including the information in convention packages. The proposal was favorably endorsed and referred to the Convention Chairman for coordination. Mr. Tony Munoz of Varieties International addressed the Board. He indicated his Dance Supplies business was located at 1021 University Ave., Honolulu, Ph: (808) 955-2913. He discussed his interest in increasing support for Square and Round Dancing in Hawaii by stocking clothes, shoes, and accessories. Options for joint ventures with clubs and Federation activities were briefly outlined. All dancers were invited to visit his retail establishment. Mr. Hank Grote spoke on the Kau Kickers July 22nd Summer Festival. All dancers were encouraged to attend. CLUB REPORTS: Each Club Representative present was given an opportunity to present a summary report on their respective club activities. Significant events are detailed above. Diamond Head 'n Sides will be dark on July 25th 1997. NEXT MEETING: The August meeting has been scheduled for Aug 10th at the Kahala Community Recreation Center. Meeting will convene at 1 PM.
