Subj: June ‘97 Federal Meeting Minutes 

The June 1997 Federation Meeting was convened at 1:07 PM on 8 June 1997 at the Kahala Community Recreation Center, Honolulu, HI. 

ATTENDANCE: The Federation Vice-Chairman and Secretary were in attendance. The following club representatives where present: Diamond Heads ‘n Sides, Hayseeds, Pali Twirlers, and Square Wheelers. A total of 13 Federation members were in attendance. 

The Vice-Chairman made welcoming remarks. 

MINUTES: The minutes from the 18 May 1997 Federation meeting were reviewed. Due to a process error, under Committee Reports, the Web Address for Ken Jordan’s WEB Site was omitted: http://www.aol.members.kjordansdc/html index . The minutes were approved as amended.

TREASURER’S REPORT: In the absence of the Treasurer, the Vice-Chairmen circulated the published Treasurers report and Convention Financial Report. Following a brief discussion, the Treasurer’s report was accepted subject to audit.  The present checking account balance was $ and savings account balance was $ .

 

CORRESPONDENCE:

COMMITTEE REPORTS: Tina Maria Jordan is collecting Membership Rosters from all clubs for the new State Square Dance Directory. All clubs should provide an updated roster to Mrs. Jordan no later than 1 September (sooner the better). Names and/or addresses may be withheld from publication upon request, but are required for Federation Membership/Insurance records. 

The following clubs have provided their roster: Diamond Heads ‘n Sides, Square Wheelers, and Pali Twirlers. 

Hotline continues to operate smoothly and now has background square dance music. Clubs and/or individual desiring to have information posted to the hotline should contact Dave Lemon at (808) 456-8465. FAX (808)456-5440.

US West Membership requirements were again discussed. General consensus was that Hawaii Membership was appropriate but only if there was no significant cost or resource commitments required. The Vice-Chairman will again contact the US West Director to obtain Constitution and By Laws if available. 

SCHEDULED EVENTS: A summary of future events was presented. 

The Jerry Story Dance will be held July 11th at Waikiki School. Tickets will be $5 in advance and $6 at the door. Contact Caller Ken Jordan or Bryan Gerdes for tickets. 

Pali Twirlers will again participate in the Kailua 4th of July Parade. All Club dancers are welcome to join in the march (dance). Plan on assembling in Square Dance attire (red, white and blue) about 9 AM in Kailua. A Potluck Pool Party hosted by the Schneiderman’s will follow the parade. Details will be available on the Hotline. 

The annual Federation Picnic hosted by the Pali Twirlers will be held on Sunday Aug 26th at Bellows Air Force Base Beach pavilion. Kick off is noonish or sooner if desired. Swimming, games and dancing for all.

Mauna Kea Roundup scheduled for September 5th, 6th, and 7th was canceled due to insufficient advanced reservations. Only 18 reservations were received - 45 required by 1 June. Not a very good showing gang! 

OLD BUSINESS: Mr. Lemon reported that work on the Royal Aloha Badge painting continues as time permits. Planned completion has again been extended.

NEW BUSINESS: Vice Chairman requested permission to move the October ’97 meeting from 12th to the 19th to accommodate the Chairman’s scheduled return from vacation. Motion was approved without objection. 

Federation Roles and Objectives: Mr. Gallerpher explained his view and understanding of the mission and roles of the Federation and the responsibilities of the Federation Board and it’s Executive Committee. in our dance community. 

Strategic Planning Initiative: Mr. Lemon outlined an Executive Committee plan to focus Federation resources (people) on three specific areas identified to improve Square and Round Dance activities within the State. The initial objectives will be to focus on: Publicity, Public Awareness, and Membership Drives. An introductory letter explaining the concept was provided to each representative. Comments, suggestions or recommendation are requested prior to July 13th

Pre-Convention Dance: In recent years the Square Wheelers have always hosted the Monday night Pre-Convention Dance. Although the Federation obtains the permits for the week, the club is solely responsible for hosting the dance and covering all expenses. The Convention Committee would like to open the offer to any other clubs interested in hosting the Monday night Dance. A formal letter offer signed by the Club President must be received prior to the July 13th meeting. In the event that two or more clubs desire to participate, the Federation Board will select the winning club at the July meeting. 

Club Constitution and By Laws: Each club is requested to forward a copy of their Constitution and/or By Laws for Federation records. Present records are out of date or non existent.

 

CLUB REPORTS: Each Club Representative present was given an opportunity to present a summary report on their respective club activities. Significant events are detailed above. 

Round Dance: Bryan Gerdes Round Dance Classes will be dark June 22nd and 29th.

NEXT MEETING: The July meeting has been scheduled for July 13th at the Kahala Community Recreation Center. Meeting will convene at 1 PM.
