JULY 19, 2003 FEDERATION MINUTES

The Special Meeting of the Executive Committee of the Hawaii Federation of Square Dance Clubs, held on July 5th to consider hosting the USA West Convention in 2006, was reconvened on Saturday, July 19th, 2003, at 7:10 p.m. at the home of David Lemon, Chairman.

1.  Attendance:  Federation Chairman, Vice Chairman, Secretary, Festival Registrar, and Tim Voss, USA West Vice President and Hawaii representative.  The following clubs were represented:  Pali Twirlers, Square Wheelers, and Tsunamis.

2.  Old Business:  David reported that Tim Voss had provided the contract documents requested of him at the last meeting and that they had been distributed to all present.  Tim reviewed new information regarding the proposed 2006 USA West Convention.  He said that committee secretaries rather than a Convention Secretary will be appointed because most of the correspondence will be conducted by e-mail.  All committee chairmen will be responsible for appointing their own personnel.  The dance program will be administered by the callers and the fashion show will be covered by Judy Sullivan. Tour agencies will cover housing and tour packages. Tentatively, the Policy Board with 26 couples would arrive a week in advance to set up the halls.  Approximately a year's worth of advance advertising throughout Asia, Europe and the USA would be arranged.  Decorations would be minimal and can be rented. David requested an expanded budget breakdown and break-even figures. Tim reviewed approximate major costs and agreed to mail firm figures to David.

The possible problem of a conflict with the Hawaii State Convention in January was discussed (assuming that there will be a 2006 convention).

Details of the Blaisdell Center contract were discussed and it was agreed that it should be negotiable with first-right-of-refusal, and 72 hours to obtain the funding. At this time Tim was excused from the meeting.

David reported that he had contacted USA West's Policy Board Chairman regarding our concerns and questions. Dave indicated that he could envision no negative consequences to the Federation in hosting the convention, except possibly to Hawaii's reputation, and the manpower question appeared to be covered.  

After further discussion, it was moved, seconded, and unanimously carried to approve Tim Voss’s proposal to bid for the USA West’s  2006 convention to be hosted in Hawaii.

4.  Next Meeting:  The next meeting will be held on Sunday, August 31, at 5:30 p.m. at the Ala Wai Golf Course Palladium.

5.  Adjournment:  The meeting was adjourned at 8:25 p.m.
