August 29, 2002 FEDERATION MINUTES

The August meeting was convened on Thursday, August 29, at 6:32 p.m., at Pohai Nani.

1.  Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary, and Festival Registrar.  The following clubs were represented:  Pali Twirlers and Square Wheelers.

2.  Minutes: The minutes of the July 25th meeting were accepted as submitted. 

3.  Treasurer's Report: The Treasurer's report was distributed for review.  The opening balance as of 2/1/02 was $2,866.20. Income was $2,780.09 and expenses were $2,101.35 for a balance in the checking account as of August 29 of $3,454.94.   Kim noted that festival ads were placed with the NSDD, the Southwest Dancer and American Square Dance magazines (Oct/Nov. issues). The income from the picnic equaled the expenses of $50. The Treasurer's Report was accepted as presented.

4. Committee Reports:

     a.   2003 Hawaii State Festival:

          (1) Chairman's Report:  Dave reported that four contracts for callers and cuers were mailed out August 4th. Al Frazier's has been returned and he has talked with the others and they plan to return their contracts as soon as possible so there should be no problem.

          (2) Registrar's Report:  Henry reported that there have been no new registrations since last month and that 46 dancers are now registered for the 2003 Festival.

          (3) Planning: 

                (a) Date Bars:  Dave reported that that he is looking for a supplier of date bars for the festival.  Norm Hangman is no longer in the business, and the only other island supplier charges $3 each in quantities of 100, which is too expensive.  He will continue his search here and on the mainland and report back at a later date.

                (b) Sound:  A volunteer is needed to be in charge of the festival's sound. 

                (c) Decorations:  Janet will organize workers for festival decorations, which will probably be more modest this time.

                (d). Kuhio Village Resort Quote: Dave said that he had received a quote from the Kuhio Village Resort on Kuhio Ave. offering a special bulk rate for standard rooms of  $39 (or $49 with kitchenette) vs. $99 listed on the Web.

5.  Correspondence:

     a.  Dave reported that he has registered as the Federation's Corporation Registered Agent in order to meet a State requirement.

6.  Old Business:

     a.  USA West Convention, Boise, ID:  Dave said that he had received an email from the Fullaways giving high praise to the USA West Convention held August 21-24 in Boise, ID.  They described it as being one of the best medium sized dances ever, with good attendance, excellent callers and good workshops. The Hawaii display table got the prime spot and HVB support was excellent. Tim Voss was elected Vice President of the Board, which offered its support and seed money if Hawaii would agree to try hosting.

7.  New Business: None.

8.  Club Reports and Activities: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events flyer.

     a.  Pali Twirlers:  The Pali Twirlers' Fall Fling/Halloween Dance has been scheduled for Sunday night, October 27th at the Ala Wai Palladium Ballroom.

     b.  Square Wheelers:  Split sessions are being held on Sunday nights with basic mainstream from 6:30 to 8:00 and Plus dancing from 8:00 to 9:30 p.m.  The Square Wheelers will be hosting Carnival Cruise dancers on October 9th at the Ala Wai Ballroom.

    c.  Hot Foot Stomp:  The Lava Klinkers will host the Hot Foot Stomp festival on October 18-20 at Kilauea Military Camp on the Big Island. Naaman Moorehouse and Freddie Loveless will be featured caller and cuer.  Registration is $25.                

9.  Next Meeting: The next meeting  will be held on Sept 26th at 6:30 p.m. at Pohai Nani. 

10. Adjournment:  The meeting was adjourned at 6:55 p.m.
