MAY 31, 2002 FEDERATION MINUTES

 The May Federation Meeting was convened on Friday, May 31, at 6:35 p.m., at the Red Hill Community Center

1.   Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary, and Festival Registrar.  The following clubs were represented:  Pali Twirlers, Square Wheelers and Hayseeds, and Tsunamis.

2.  Minutes:  The minutes of the April 27 meeting were accepted as submitted. 

3.  Treasurer's Report: The Treasurer's report was distributed for review.  The opening balance as of 2/1/01 was $2,806.20. Income was $2,209.09 and expenses were $1,522.94 for a balance in the checking account as of May 31 of $3,492.35.   Dave noted that Outrigger Travel International has written off in our favor the difference of $245 between their accounts receivable and liabilities and the account is now closed. The Treasurer's Report was accepted as presented.

4.  Committee Reports

        a.   2003 Hawaii State Festival:

              (1) Budget:  Dave distributed a 2003 budget including Federation fixed expenses/income and Festival proposed expenses/income based on 175 dancers attending the festival.  This is based on airfare for three callers at $800 each and one cuer at $600, but no lodging.  It is currently expected that callers and cuer will be lodged at dancers' homes unless registration exceeds expectations.

              (2) Registrar's Report:  Henry reported that there have been no new registrations since last month and that 38 dancers are now registered for the 2003 Festival.

              (3) Caller/Cuer Nominations:  Dave distributed a list of callers and cuers who have responded to his open invitation to participate in our Festival for the privilege of a vacation and tax break.  After discussion it was moved, seconded, and unanimously agreed to authorize Dave to negotiate a contract with callers Steve Sullivan (ID), Larry Shipman (MI), Al Frazier (TX), and/or Kevin Oneslager (KN), and cuers Rey and Barbara Garza or Bill and Linda Maisch (CA).  It is anticipated that, depending on registration, three callers and one cuer will be retained.

5.  Correspondence:

          a.  Letter from City Corporation Counsel David Arakawa dated May 14, 2002, in response to complaint from David Lemon regarding the Ala Wai Clubhouse Palladium usage in which it was noted that the Corporation Counsel is currently reviewing the files and reservation policy of the Parks and Recreation Department to determine the intent of the legislative branch concerning usage of the Palladium.

          b.  HVCB E-mail, offering to ship promotional materials and provide a table backdrop or use at the National Convention

6.  Old Business:

          a.  Club Roster updates:  Roster updates have been received from most clubs and an addendum to the current address book will be published during July.  If you have not already done so, please report any changes to Dave or the Federation Secretary (janetg@inix.com or telephone (808) 396-0475).

          b.  National Convention, St. Paul, MN:  Dave reported that 7714 have registered for the National Convention in June.  Dave and Kim and Tim and Melissa will be attending from Hawaii.

 

 8. Club Reports and Activities: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events Flyer.

          a.  Pali Twirlers Kailua 4th of July Parade: Assembly begins at 9:30 (location to be announced), parade starts at 10:00 a.m. Pool party with pot luck lunch starts immediately after the parade at Andy Scott's condo Rec Center.  All dancers are welcome.  Please wear red, white, and blue (hats and sunscreen recommended).  Contact is Andy Scott at 254-2333.

        b.  Square Wheelers and Hayseeds:  June 8th Square Dance Public Exhibition at Pearl Ridge Uptown celebrating Fathers Festival.  2:30 - 3:15 p.m.  All dancers welcome.  Contact Dave at 456-8465.

          c.  Tsunamis:  Nothing new to report.

          d.  N. Texas Square and Round Dance Association Pre-Cruise Dance:  The Federation will host a dance on Saturday, June 15, from 7:00 to 10: 00 p.m. at the Ala Wai Ballroom for approximately 60 dancers who will be coming to Hawaii with three callers and two cuers for the Norwegian Star cruise

9.  Next Meeting:  The next meeting time and location will be announced at a later date.  The June meeting is cancelled due to the National Convention and Board members' local travel.

10. Adjournment:  The meeting was adjourned at 7:20 p.m.
