 2001 ANNUAL MEETING MINUTES

 The Annual Federation  Meeting was convened at 5:35 p.m. on Saturday, January 27, 2001, at the Ala Wai Ballroom. 

1.  Attendance:  Henry Staehle, Chairman; Tat Tatsuguchi Treasurer; and Janet Granich, Secretary.  The following clubs were represented: Hayseeds, High Hopes, Pali Twirlers, Rainbeaus & Belles, Square Wheelers, Tsunamis, and U-Turners.

2.  Minutes:  The Minutes of the January 7, 2001, meeting were reviewed.  No corrections were noted and the minutes were accepted as submitted.

3. : The Treasurer reported a balance in checking, as of 1/1/01 of $4,995.69 and in savings of $1,874.19 for a total of $6,869.88.  He said that the Federation’s liability insurance has been paid up and that escrow payments to clubs in the amount of $2,921 have been made so far. All callers and cuers will be paid in full before the Festival ends.

4.  :             

     a.  Hawaii State Festivals:

          (1) Festival 2001: Tim Voss reported that the Festival has been going well with no complaints so far.  The final count is not yet available but is close to 200.

          (2) Festival 2002: Tim reported that contracts for callers and cuers have been signed and contain escape clauses in the event it is decided not to have a festival next year.  This question will be discussed among the clubs after the final Festival Report has been completed.

5. :  Nothing of significance.

6. 

     a.  2001 Festival Special Events: All special events have been held except for the Whale Watching Dance Cruise. Although sparsely attended, all events have been successful and were enjoyed by all who attended.  Final tallies have not yet been completed but preliminary reports are as follows:

          1) Polynesian Cultural Center: Dave reported that 48 people attended and received a special Maori Warrior Greeting and exchanged folk dances with the Polynesians in the Aloha Theater.  The tour, special dances, dinner, and show were enjoyed by all and the event was financially profitable.

          2) Luau by the Bay: Approximately 75 people attended. The event was successful with no complaints and a small profit.  A new caterer was selected and the food was much better.  This year the hula halau stressed ancient hula with story telling and was given a standing ovation at the end.  Visiting callers and cuers participated afterward and everyone seemed to enjoy the smaller party more.

          3) Wednesday night square and round dance: Nasser Shukayr did a fine job as the featured caller.  There was good attendance and everyone seemed to have a good time.

          4) Whale Watching Cruise: Tim Voss reported that 50 people have signed up for the Sunday morning cruise so far and he is attempting to sell more tickets in order to break even.

     b.  Insurance:  Henry reported that Doug has renewed the Federation’s liability insurance.  It was noted that to date, the Federation has never made a claim on the insurance.

     c.  Tax Exempt Status: Nothing new to report.

7.  New Business:

     a.  Election of Officers: Henry announced that Treasurer Tat Tatsuguchi has resigned leaving one remaining year of a two-year term, and Janet Granich has completed her term of office as Secretary.  Those two offices being vacant, he opened the floor to nominations for the offices of Treasurer and Secretary.  After discussion, it was moved, seconded, and unanimously carried to elect David Lemon to the office of Treasurer to serve the balance of Tat Tatsuguchi’s term.  It was also moved, seconded, and unanimously carried to elect Janet Granich Secretary, to serve another three-year term.  The following slate of officers will serve the Federation for 2001:

                              Henry Staehle, Chairman (two years)

                              Douglas Warne, Vice Chairman (one year)

                              David Lemon, Treasurer (one year)

                              Janet Granich (three years)

    b.  Renewal of BMI and ASCAP licenses: Henry said that he has received notice that the Federation’s BMI and ASCAP licenses are up for renewal and will take care of the matter.

     c.  Club Dues: Henry reminded club representatives that Federation dues of $50 for the year 2001 are now due.

     d.  Club Rosters: Club representatives were asked to have their clubs submit updated rosters to the Federation Secretary so that a new address book can be complied.

8.  Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Coming Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

     a.   Pali Twirlers: Barbara Tatsuguchi asked if the Pali Twirlers could host the All-Oahu Dance on March 11th and it was agreed that date would be fine.

     b.  Square Wheelers and Hayseeds: Valentines dance at the Ala Wai Palladium Ballroom on February 11th.  Pre-rounds at 6:30 p.m., square dance at 7:30 p.m.  The Hayseeds and Square Wheelers regularly dance on Mondays at the Kapiolani Park Bandstand, pre-rounds at 7:00 p.m. and square dance at 7:30 p.m., but they will be dark on Monday, Feb. 12.

     c.   Maui Clubs: The Maui No Ka Oi Festival will be held April 26-29.  Dennis Farrar (The Great Yodeler) from Glendale, Arizona and Maui’s Bill Peters will be caller.  Hi Hopes Club dances are regularly held on Monday nights 7:00-9:00 p.m. at the Pukalani Upcountry Community Center, and the Maui Mixers hold dances regularly on Thursday nights 7:30-9:30 p.m. at the Senior Visitors Center in Wailuku.

     d.  Big Island Clubs: St. Patrick’s Day Dance featuring cuer Dan Drumheller and Tony Nevison, Friday through Sunday, March 16-18, at the Waiakea Villas Hotel, Hilo.  All the Big Island clubs are dancing regularly. The Hi-Lo’s are dancing on Sundays with Hank Grote, caller, and Freddie Loveless, cuer; pre-rounds 1:30 and rounds and squares 2:00-4:00 p.m. at the Keaau Community Center. Bill Yoeman holds classes on Mondays and Saturdays and calls for the Lava Klinkers on Sundays at 1:30 p.m.

     e.  USA West: The next USA West Convention will be held in August 2002, in Boise, Idaho.

     f.  National Conventions: The next National Convention will be held June 27-30 in Anaheim, CA, in 2001, in Minneapolis in 2002, and in Oklahoma in 2003.

 9. Next Meeting: The next meeting will be held on Sunday, February 25, at 3:00 p.m. at the Red Hill Community Center (Coast Guard).
