APRIL 28, 2001 FEDERATION
MEETING MINUTES
The April Federation Meeting was
convened on Saturday, April 28, at 4:07 p.m., during the Maui No Ka Oi
Festival, at the Okinawa Community Center in Wailuku, Maui.
1. Attendance: Federation Chairman; Treasurer; and
Secretary. The following clubs
were represented: Hayseeds,
Hi-Lo's, High Hopes, Maui Mixers, Rainbeaus & Belles, U-Turners, Pali
Twirlers, and Square Wheelers.
2. Minutes: The Minutes of the March 25th, meeting were reviewed. No corrections were noted and the
minutes were accepted as submitted.
3. Treasurer’s Report: The Treasurer’s report was
distributed for review. The
balance in checking as of 4/28/01 was $2,196.23, and in savings $1,572.79,
for a total of $3,769.02. The
Treasurer noted that the Federation's assets are approximately $1,100 below
that of last year, and that he had made a temporary loan to the Federation
of $200 in order to bring the savings account balance above the mandatory
$1500 required by the bank for a non-fee account. The Treasurer's Report was accepted
as submitted.
4. Committee Reports:
a.
2001Hawaii State Festival: David reported that 37 early registrants
have signed up for the Festival, for a total Festival income of $740. Club representatives were requested
to urge their members to register as early as possible so as to help fund
the Festival. Prices are $20
for club members and $30 for non-members.
There will be no early-bird discount this time since they have not
been taken advantage of in the past. The
"discount" to members acknowledges their own club dues and their
club's Federation dues.
(1) Volunteer Schedule: A signup sheet for volunteers to help with
Festival work requirements was passed around. Henry noted that the same people
each year do most of the work and new workers are needed. Their help will
be greatly appreciated by those who have worked in the past, especially
during the Saturday night cleanup.
(2) Special Events:
(a) Square Wheelers: David reported
that the Square Wheelers have not been able to reach a satisfactory
agreement with the Polynesian Cultural Center to host their usual
Polynesian Adventure event. They
are now considering holding their Monday night dance at the Waikiki
Aquarium, dancing among the seals. This
event is still in the planning stage and will include free admission to the
aquarium displays.
(b) Pali Twirlers: The Pali Twirlers plan to hold their Luau
by the Bay event holding at the same price of $30.00
(c) Hayseeds: The
Hayseeds plan to hold their usual Wednesday night square and round dance
event with local and guest callers. Squares
and rounds will be held in separate halls.
(d) Tsunamis: Tim is planning to hold the Whale
Watching cruise on Sunday morning following the Festival, but is still
negotiating the price due to the Star of Honolulu raising its prices.

Correspondence: Nothing of significance.
6. Old Business:
a. Club dues: Henry reported that the
Board of Directors has been considering raising dues to cover Federation
fixed expenses such as the Post Office Box, telephone hotline, insurance
and other incidentals. Previously
State Conventions covered these expenses, but last year the Festival lost
money. At the present time
club dues of $50 do not pay for the cost of insurance ($807.00) covering
all Federation clubs. Under
the present budget, with 12 clubs, it would cost each club $125 a year to
cover fixed expenses. The concern is that many dancers belong to more than
one club. The suggestion was made that each dancer pay yearly dues directly
to the Federation, thus underwriting the cost of their club's insurance. It was noted that 200 dancers at
$7.50 each would cover the Federation's fixed expenses of $1500. In the
meantime, Federation officers will continue to endeavor to reduce costs. Input from all clubs is requested on
this subject.
b. Telephone Hot Line: An
evaluation of the telephone Hotline is in progress to determine whether it
is being sufficiently used to warrant its maintenance. The Telephone Company is keeping a
record of the number of calls made and it may be possible to get the cost
down from the current $45.00 per month to $25.00.
c. Address book: Henry reported
that a draft of the new address book is being distributed to clubs so they
may check for accuracy of their members' information. It is hoped that the new book will
be distributed by the end of May.
