OCTOBER 22 ‘00 FEDERATION MEETING MINUTES

The October 22 ‘00 Federation Meeting was convened at 3:00 p.m. at the Red Hill Community Center.

1.   Attendance:  Henry Staehle, Chairman; Tat Tatsuguchi, Treasurer; and Janet Granich, Secretary.  The following clubs were represented: Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis.

2.   Minutes:  The Minutes of the September 24, 2000, meeting were reviewed.  No corrections were noted and the minutes were accepted as submitted.

3.   Treasurer’s Report: The Treasurer’s report was distributed for review.  The balance as of October 22 was $2,045.92 in checking and $1,864.79 in savings, for a total of $3,910.71.  The report was accepted as submitted.

4.   Committee Reports:

         a.    Advertising and Recruiting: Chairmen needed.

         b.       Hawaii Festivals:

                  (1) 2001 Festival: Chairman Tim Voss reported that as of October 24th a total of 35 dancers have registered for the January 2001 Festival.  Six have registered for the cruise, two for the Luau, and eight for the Wednesday night dance.  Not counting the tour groups who registered last year, registration is approximately the same as last year at this time (30 as of the October 1999 Federation meeting).  As Festival Transportation Chairman, Dave requested he be updated periodically on hotels being occupied so he can schedule bus stops.

                  (2) 2002 Festival: Tim reported that he received the signed contract from Bob Van West confirming him as a caller for the 2002 Festival.  In his reply, Bob indicated that he thought he had sent his acceptance in both by e-mail and snail mail.   .

5.   Correspondence:  (a) Letter dated 9/25/00 to presidents of neighbor island clubs inviting them to host future Hawaii State Festivals beginning in 2003.  (b) Letter dated 9/1/00 from the 50th National Square Dance Convention alerting us to request a display table early to receive a good floor assignment.  (c) Reply to the 50th National Square Dance Convention requesting a table for Hawaii. (d) Signed contract received from Bob Van West accepting our invitation to call at the 2002 Hawaii State Festival.

6.   Old Business:

         a.  Royal Aloha Medallion: Nothing new to report.  Applications and medallions will be available at the Hot Foot Stomp in November.

         b.  Tax Exempt Status: Nothing new to report.

         c.  Constitution:  The secretary reported that copies of the new Federation Constitution were mailed with the September minutes to all neighbor island presidents and distributed to club presidents on Oahu.

         d.  United Square Dancers of America: David reported that Doug is looking into liability insurance through the United Square Dancers of America and will let us know whether this possibility is worth pursuing.

         e.  2001 Festival: Tim reported that as of November 1 last year we had approximately 131 registrants. However, this figure is distorted because it includes both dancing and non-dancing tour groups.  David suggested that any tour groups be listed on a separate spreadsheet because they are so dynamic.  This year we have a tour group coming in on the Tuesday before the Convention; however, they have not yet registered.

                  (1) Polynesian Cultural Center event: David noted that a special $30 Kamaaina rate will be available after 4:00 p.m. for the Polynesian Cultural Center event on Monday night.

                  (2) Luau:  Janet noted that the Pali Twirlers are offering a Kamaaina rate of $20 for the Tuesday night Luau.  This special price is being offered at less than cost in order to encourage local dancers to participate and enjoy this unique event.

         f.  Request to support “Pourparler”: At the September meeting a request was received from Al and Yona Chock to support Pourparler, an organization of people who teach schoolchildren to folkdance.  After discussion it was agreed that this is a worthy organization and should be supported by the Federation should they choose to hold a meeting in Hawaii.  Yona and Al Chock will be requested to let Pourparler know that the Federation will be happy to do what it can to help with any future meeting it may hold in Hawaii.

         .
