APRIL 30, 2000, FEDERATION MEETING MINUTES

The meeting of April 30, 2000 was convened at 3:10 p.m. at the Kahala Recreation Center.

1.     Attendance:  Federation Chairman, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented: Pali Twirlers, Square Wheelers, and Tsunamis.  Guests:  Al and Yona Chock.

2.     Minutes:  The Minutes of the March 26th Meeting were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.   Treasurer’s Report: The Treasurer reported a balance in checking of  $3,055.71 and a balance in savings of $1,846.23 for a total of $4,901.94.  The Treasurer’s Report was accepted as submitted. 

4.     Committee Reports:

        a.  Advertising: Chairman needed.

        b.  Social Calendar: Henry reported that the reformatted and updated Social Calendar was distributed with the March minutes.  Note: Please send any updates or corrections to Henry Staehle at henrys@inix.com , or telephone 672-3646.

   Recruiting: Chairman needed.

        d.     Festival 2001:

                (1) Registration: Tim announced that in the absence of other volunteers and in order to keep up-to-date, he would serve as Registrar for the 2001 Festival.  He noted that the deadline for sending registration forms to the printer, who is located in California, is May 15. Updated information on event dates, prices, and revised wording, if any, is urgently needed from the clubs before that date. Clubs may also wish to consider suggestions for a 2001 Festival theme, to be included in the Festival description.

                (2) Local Caller’s night: Tim noted that attendance from the neighbor islands had been sparse this year and he was considering reinstating a local caller’s night on Thursday in the second hall.  Participating callers would have their registration fees reduced accordingly. 

                (3) Invitations:  The question of whether special invitations should be issued to Taiwan, Japan, or anyone else to attend the Festival was raised.  If this is done it should be soon, as it takes time for their arrangements to be made.

5.    Correspondence:  (a) Letter received from Deed Reimer of the Rainbeaus and Belles requesting additional address books.  Henry said that the books were forwarded to him via dancers attending the Maui No Ka Oi dance held this weekend.  (b) Henry noted that he has recently been receiving more e-mail correspondence from mainland dancers planning vacations in Hawaii.

6.     Old Business:

        a.   Royal Aloha Medallion: Henry reported that the Royal Aloha Medallion application forms have been distributed to Oahu clubs and mailed to neighbor islands.

        b.  Tax Exempt Status: Nothing new to report.  

        c.  All Oahu Dance: It was agreed to reserve the Palladium for the second Sunday of the month for All-Oahu Dances through December.  Dates are available for club sponsorship of special dances.  Proceeds from the dance go to the sponsoring club.

7.     New Business              

        a.  BMI/ASCAP License: Three clubs have recently been dancing to records because their caller was either indisposed or had resigned, and the question was raised concerning whether this is legal.  Discussion revealed that all callers and cuers are licensed so no problem exists when they are on the premises.  Ideally, the Parks Department would license their recreation buildings; however, they do not.  According to law, someone with a BMI/ASCAP license must be present when records are being used.  Since Ken will be leaving in July and the Square Wheelers, Hayseeds, and Diamond Heads will not have a caller, some thought should be given to this matter.  Yona indicated that she would be willing to loan her large record collection to the clubs if they are needed.

     b.  2002 Festival:

(1) Callers: Tim commented that as Festival Chairman he views his responsibilities as on-going until he is relieved.  He indicated that he has been lining up callers for the 2002 Festival and has received acceptances from three that are within our budget.  Doug Davis of Reno, Ed Kramer of Northern California, and Bob Van West of Los Angeles have all indicated a willingness to participate in 2002.

(2) The question was raised concerning the degree of local interest in an annual festival.  Out of a total attendance of 351, only eight people from the Big Island, 8 from Maui and 61 from Oahu attended the Festival.

          (3) Festival name: Some dancers have expressed their displeasure that our event has been changed from a Convention to a Festival because it was thought that festival more accurately describes our event compared with mainland conventions.  They believe that because our event is unique to Hawaii and has always been called a convention, it still remains a convention to the local people. Club representatives are asked to determine their clubs’ preferences on this matter and it will be discussed further at the next meeting

        c.  Contra Dancers of Hawaii: Yona and Al Chock said that the Contra Dancers of Hawaii are considering joining the Federation because of its insurance benefits, but wanted to know what their obligations would be if they joined.  They have approximately 100 dancers and qualify under the By-laws.  

        d.     Square dance indoctrination handbooks:  Dave Lemon has established a State Square Dance Library for the "Sets in Order" Square Dance Handbooks.  Quantity lots of the following are available at costs plus postage:

        Square Dance Introduction:  $.50

        Basic & Mainstream:        $1.00

        Plus Dancing: $.75

8.     Club Reports/Events: Note: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  All-Oahu Dance: Sunday, May 14, at the Palladium – Pre Rounds at 6:30 p.m. dance at 7:30 p.m., Andy Scott is caller, and Dan Drumheller is Cuer.  The Federation is sponsor.  The secretary was asked to reserve the Palladium for dances to be held the second Sunday of each month through December. 

        b.  Square Wheelers and Hayseeds: Dancing Monday nights at 7:15 p.m. at the Makiki District Park, but dark on May 15th.

        c.  4TH of July Parade: Sponsor, Pali Twirlers.  Potluck lunch following the parade.

        d.  49th National Square Dance Convention, Baltimore, MD: June 22 – 24.   Kim and David will be attending the Convention and will set up the Hawaii Display Table.

        e.  Federation Picnic: August 20, 11:00 a.m.

        f.  USA West Square Dance Convention, Casper, WY: August 9-12.

        g.  Perth, West Australia International Square Dance Festival, September 2000.

        h.   Cultural Dance Exchange and Tour of China, September 2000: Join Hawaii Dancers for a cultural exchange with Chinese dancers in Beijing and Lhasa (Tibet).  There is a choice of two tours available: 10 days for $2500 and 21 days for $4500.  Contact Ann Todd at 239-6325.

9.   Adjournment:  The meeting was adjourned at 4:15 p.m. The next meeting of the Federation will be held on Sunday, May 28, at 3:00 p.m. at the Kahala Recreation Hall.
